Done well, this period sets you up for a smooth arrival and successful first months. Done poorly, it creates stress that compounds during the move.

Documents to gather and verify
Your work permit and D-03 visa applications need a specific document set. Some you already have. Some you need to obtain. Some need apostille or attestation in your home country.
Already in your control
Make digital scans of your passport bio page, recent passport-size photos (3.5 by 4.5 cm, white background), your CV in English, and any past employment letters. Save them in two locations: cloud storage like Google Drive, plus a USB drive you carry with you.
Requires action in your home country
Police clearance certificate (PCC) from the local authority. In India, this comes from the local SP office and needs MEA apostille. In Pakistan, the Special Branch issues it and the Ministry of Foreign Affairs apostilles it. In other countries the equivalent process varies.
Education certificates and skill certificates need home-country apostille too. Indian candidates need MEA apostille. Pakistani candidates need HEC attestation followed by MFA apostille.
Health certificate confirming HIV negative, TB negative and general fitness. Most candidates obtain this from a registered medical practitioner during the application month. Asia Work specifies the exact format the Ukrainian employer accepts.

Ukrainian employer's invitation letter, work permit confirmation from the Ministry of Economy, employment contract draft, and proof of accommodation in Ukraine. These come to you electronically before your visa appointment.
Financial preparation
You will need some cash for your first weeks in Ukraine. While salary is paid into a Ukrainian bank account that you open shortly after arrival, the first salary cycle takes 30 to 45 days. Bring enough hryvnia equivalent to cover daily expenses for that period.
Most Asia Work placements include free or heavily subsidized accommodation. Food, transport and personal items are your main expenses in the first month. A reasonable preparation amount is one full month's living expenses in cash or international debit card balance.
Mental preparation
The biggest predictor of a successful first three months is mental preparation. Ukraine is different from your home country in language, climate, food and daily rhythms. Workers who arrive with realistic expectations adapt quickly. Workers who arrive expecting Dubai or Singapore struggle.
Ukraine is a developing European country with strong work ethic and social cohesion. Daily life functions normally in central and western regions. The pace is slower than the Gulf, the climate is colder, and the food is different. None of this is a problem if you prepared mentally.

What to pack
Pack for cold winters and warm summers. Ukraine has four distinct seasons. If you are arriving between October and March, you need a heavy winter jacket, thermal layers, gloves and warm boots. If your home country does not stock proper winter gear, buy these in Ukraine within the first week. Local supermarkets carry affordable options.
Bring three months' supply of any prescription medication. Ukraine has good pharmacies but specific brand names vary. Ask your doctor for the generic chemical name so you can find equivalents.
Personal religious items, prayer essentials, photos of family and any small comfort items from home. Worker dorms are functional but not personalised. The small items you bring make the room feel like yours.
Professional tools you prefer to use. Many tradespeople bring their own welding mask, hand tools or small instruments. Workplaces provide all required PPE and major equipment, but personal preference items are worth packing.
Do not pack large quantities of food. Ukrainian supermarkets carry South Asian and Southeast Asian ingredients. Indian, Pakistani, Bangladeshi, Vietnamese and Filipino groceries are available in major cities at fair prices.
The week before travel
Confirm with Asia Work the airport pickup details. We send you the name and photo of the team member meeting you at Chisinau or Ukrainian airport, plus their phone number. Save this in your phone immediately.
Notify your bank about international card use. If you plan to use a debit card in Ukraine, your bank may freeze it the first time you use it abroad. A 30-second call to your bank prevents this.
Print copies of all important documents. Even with digital backups, paper copies of passport, visa, work permit notification, employment contract, health certificate and police clearance are needed at airport check-in, border crossing and arrival in Ukraine. Pack one set in your carry-on, one in checked luggage.
Inform your family and friends of your travel plan. Share Asia Work's emergency contact number with one trusted family member. They will not need it, but knowing it gives them peace of mind.
Arrival day expectations
Read the arrival guide carefully. The first 24 hours follow a predictable pattern: airport pickup, transport to accommodation, room handover, meeting other workers in the dorm. The first work day is typically two or three days after arrival, allowing time for accommodation setup and basic registration.

The first 30 days
Migration registration must be filed within 30 days of arrival. Asia Work handles the paperwork in your first or second week. Open a Ukrainian bank account as soon as your residence permit application is filed. Most workers use Monobank or Oschadbank, both with English-language mobile apps.
