Who can become an Asia Work partner agency?+

How does the partnership application work?+
Submit the application form at /partners/apply. Our partnership team contacts you within two business days for an introductory call. From application to signed partnership agreement typically takes one to two weeks.
Is there a partnership fee?+
No. Asia Work does not charge agencies to join the partnership program. Our compensation comes from the Ukrainian employer side after a successful placement.
What is the compensation structure?+
Competitive partnership terms shared during the introductory call. We do not publish specific numbers because terms vary by role category and volume tier. Compensation is transparent and consistent across our partner network for comparable role profiles.
How long does a single placement take?+
45 to 60 days from candidate submission to first day at the Ukrainian workplace. The split: agency-side document preparation runs in parallel with our work permit processing.
Who handles which side of the process?+
Agency: home-country vetting, candidate interview, document collection, apostille, education and police clearance. Asia Work: Ukrainian work permit, D-03 visa documentation, Moldova transit, airport pickup, accommodation and migration registration.
What if a candidate is rejected at the visa stage?+
Visa rejections are rare with proper documentation. If a rejection occurs we identify the cause, correct the issue and reapply at no additional cost. Time loss is shared between agency and Asia Work.
What if a candidate drops out after arriving in Ukraine?+
Asia Work owns post-arrival support. Drop-outs in the first 90 days are reviewed jointly with the agency. The compensation structure addresses early-stage drop-outs in the partnership agreement.
How do we submit candidates?+
Through our shared submission portal accessible after the partnership agreement is signed. Each candidate profile includes CV, photos, document scans, skill assessment notes and any specific role preferences.
How fast does Asia Work respond to candidate submissions?+
Initial review within two business days. Skill verification call scheduling within five business days. Match decision within ten business days for candidates fitting active employer briefs.
Can we partner if we are based outside the 12 source countries?+
Possibly. Our 12 source countries are where we have established consulate familiarity and visa pipeline. If your agency operates in a country we have not yet covered, send the application and we evaluate during the call.
What is the minimum monthly volume required?+
No strict minimum. We work with agencies placing one to ten candidates monthly and with agencies placing 100+. Volume tier affects compensation structure but not partnership eligibility.
How do we handle disputes?+
The partnership agreement specifies dispute resolution. Most issues are resolved by the dedicated partnership manager within 24 hours. Escalation to executive level is documented and rare.
Do we need to be present in Ukraine?+
No. The agency operates entirely from your home country. Asia Work handles the Ukrainian side of every placement. Optional partnership visits to Ukraine for senior agency representatives can be arranged.
How is candidate quality maintained?+
Joint vetting. Agency runs initial vetting and skill confirmation. Asia Work runs the second-stage skill verification call. Both sides agree on suitability before the work permit application starts.
What industries have the strongest demand in Ukraine?+
Manufacturing (CNC, factory, fabrication), construction (welders, masons, general workers), meat processing (poultry, beef, deboning) and logistics (warehouse, forklift). All four categories have ongoing employer demand.
Can our agency suggest specific Ukrainian employers?+
Asia Work owns employer-side relationships. Suggestions are welcome and we evaluate, but the employer roster stays with us to ensure consistent quality and legal compliance for every placement.

A. Partnership Basics

Who can become an Asia Work recruitment partner?

Licensed recruitment agencies with a valid government-issued recruitment license in their operating country. We work with agencies in India (registered with the Ministry of External Affairs), Pakistan (OEP license holders), Bangladesh (BMET-licensed agencies), Vietnam (DOLAB-licensed), Philippines (POEA-licensed), Nepal, Indonesia, Uzbekistan, and UAE-based agencies with valid MOHRE registration. Solo recruiters, freelancers, and unlicensed operators are not eligible.

What countries does Asia Work place workers in?

All placements are in Ukraine. Workers are placed at verified Ukrainian employers in cities including Kyiv, Lviv, Dnipro, Kharkiv, Vinnytsia, Ternopil, Khmelnytskyi, and others. We do not operate in regions near active conflict zones. Asia Work handles all in-country legal processes: work permits, document registration, accommodation, and employer coordination.

What makes Asia Work different from other companies recruiting for Ukraine?

Asia Work operates as a Ukrainian company with direct employer relationships. We are not a sub-agent or intermediary. Our legal team in Kyiv submits work permit applications directly to the State Employment Service. We control the employer vetting process, document flow, and candidate placement. Is there a minimum number of candidates required to start?

No minimum placement volume is required to begin the partnership. We onboard agencies of all sizes. However, agencies that consistently submit 5 or more qualified candidates per quarter receive priority processing and dedicated account management. The goal is long-term collaboration, not one-off placements.

How does Asia Work vet Ukrainian employers?

Every employer in our network undergoes verification before we accept candidates on their behalf. We check: active business registration, tax compliance, physical workplace inspection (conducted by our team in person), salary payment history, and existing employee conditions. We also confirm that the employer has legitimate labor demand, meaning the positions are budgeted and cannot be filled domestically. Employers who fail these checks are not added to our network. We conduct annual re-verification of all active employers.

Does Asia Work have representatives in our country?

Asia Work operates from Kyiv, Ukraine. We do not have physical offices in partner countries. All communication with partner agencies happens remotely via video calls, email, and the partner portal. This keeps our cost structure lean and allows us to focus resources on the in-country processes that matter most: employer relations, legal processing, and worker support. Your dedicated partnership manager is available during Kyiv business hours (09:00–18:00 UTC+2) and responds to urgent messages outside hours within 12 hours.

B. Process and Workflow

How does the candidate submission process work?

After signing the partnership agreement, you receive access to our candidate submission portal. You submit candidate profiles with passport scans, CVs, certificates, and medical documents. Our team reviews each submission within 3 business days. Approved candidates are matched with open positions. What documents does Asia Work need from each candidate?

For initial screening: passport scan (bio page), CV in English, and professional certificates. After employer matching: full passport scan (all pages), police clearance certificate, medical fitness certificate, apostilled educational documents, and 4 passport-sized photographs. We provide a document checklist for each country with specific requirements. Our team reviews every document before submission to government authorities.

How long does placement take from candidate submission to arrival in Ukraine?

Typical timeline is 45–75 days from approved candidate submission to arrival in Ukraine. This includes: document verification (5–7 days), work permit application and approval (14–21 working days), D visa consulate appointment (7–14 days), and travel arrangements (3–7 days). Some candidates take longer if they need to obtain apostilles or police clearance certificates. We provide real-time status updates through the partner portal.

What happens if a candidate's documents are incomplete or incorrect?

Our document review team flags issues within 3 business days of submission. Common problems: expired passport, missing apostille, incorrect photograph specifications, or unsigned medical certificate. We return the file to your agency with a specific list of corrections needed. The candidate is placed on hold until corrections are received. This does not affect your other candidates in the pipeline.

Who handles the work permit and visa process?

Asia Work handles 100% of the in-Ukraine legal process. This includes: preparing the employer's work permit application, submitting to the State Employment Service, obtaining approval, and preparing the visa support letter. Your agency's responsibility is to prepare the candidate for the consulate appointment in their home country, including coaching them on interview questions and ensuring they bring correct documents. Can we submit candidates for multiple industries simultaneously?

Yes. There is no restriction on the number of industries or positions you submit candidates for. If your agency has welders, construction workers, and garment workers in the pipeline, submit them all. Our matching team routes each candidate to the appropriate employer based on skills and availability. Diversifying your candidate pool across multiple trades increases your overall placement rate and provides more consistent revenue.

What is the average candidate rejection rate at the document review stage?

Across all partner agencies, approximately 15–20% of initial candidate submissions are returned for corrections. The most common reasons: passport validity below 12 months, missing police clearance certificate, medical certificate without required tests, or professional certificates that do not match the position applied for. Agencies that use our pre-screening checklist (provided during onboarding) reduce their rejection rate to under 5%. Rejected candidates are not permanently excluded, they can be resubmitted once corrections are made.

What technology does the partner portal use? Is training provided?

The partner portal is a web-based application accessible from any browser. No software installation required. During onboarding, your partnership manager walks you through the portal in a 20-minute screen-sharing session. The portal tracks candidate status, document uploads, work permit progress, visa status, and travel logistics. Notifications are sent via email when status changes occur. C. Compensation and Terms

How does compensation work for partner agencies?

Asia Work operates a transparent compensation structure discussed during the onboarding call after your partnership application is approved. Compensation is performance-based and tied to successful placements. We do not publish specific rates on our website because terms vary based on volume, country, and industry vertical. Your partnership manager will explain the full structure, payment schedule, and any applicable bonuses during the introductory call.

When do agencies receive payment?

Payment timing is defined in the partnership agreement. Generally, compensation is tied to placement milestones. Specific terms, payment methods, and currencies are discussed during onboarding. We support bank transfers to accounts in India, Pakistan, UAE, Vietnam, and other operating countries.

Are partnership terms exclusive?

Standard partnerships are non-exclusive. You can work with other companies placing candidates in Ukraine or other countries. Exclusive territory arrangements are available for high-volume agencies that commit to minimum quarterly placements. Exclusivity terms are negotiated individually and documented in the partnership agreement.

Does Asia Work charge agencies any upfront fees?

No. There are no application fees, onboarding fees, portal access fees, or deposit requirements. The partnership model is performance-based. Compensation flows from successful placements. This structure ensures that both Asia Work and your agency are financially aligned: we both benefit when candidates are successfully placed and start working.

D. Candidate Requirements

What are the basic candidate requirements?

Age: 21–55 years (some employers accept 18–60, depending on the role). Valid passport with minimum 12 months remaining validity. Clean criminal record. Medical fitness (no TB, HIV, hepatitis B/C). Do candidates need to speak Ukrainian or English?

Basic English communication is sufficient for most positions. Ukrainian language skills are not required at the time of application. Workers learn basic workplace Ukrainian after arrival. For supervisory or specialized roles, stronger English is preferred. Translation apps and multilingual supervisors are standard at most workplaces with foreign employees.

Which industries have the highest demand for workers?

As of 2026, the highest demand sectors in Ukraine are: metal fabrication and welding, construction (reconstruction projects), manufacturing and assembly, meat processing (halal-certified facilities), garment and textile production, warehousing and logistics. Demand fluctuates seasonally. Construction peaks in spring and summer. Manufacturing remains steady year-round. Our partnership team provides monthly demand updates.

Are there disqualifying factors that agencies should screen for?

Yes. Screen out candidates with: expired passports (less than 12 months validity), serious criminal records, active communicable diseases, prior deportation from Ukraine or EU countries, and inability to perform physical labor. Candidates who were previously rejected by Ukrainian immigration within the last 12 months should wait before reapplying. Pre-screening saves time for everyone.

Can candidates with Gulf work experience apply for Ukraine positions?

Yes, and Gulf experience is an advantage. Workers who have completed contracts in UAE, Saudi Arabia, Qatar, Kuwait, or Oman often have valid professional certifications, medical clearances, and documented work history that speeds up the application process. What age range do Ukrainian employers accept?

Most employers accept candidates aged 21–55. Some positions, particularly entry-level factory and warehouse roles, accept workers aged 18–20. Experienced specialists aged 56–60 are considered for senior trade positions (master welders, construction supervisors, experienced CNC operators). If you have candidates outside the 21–55 range, confirm eligibility with your partnership manager before investing time in document preparation.

E. Risk Management

What happens if a candidate drops out after the work permit is issued?

Candidate dropouts after work permit issuance create costs for the employer and delay the placement slot. Asia Work addresses this through the partnership agreement, which includes provisions for replacement candidates. If your agency can provide a qualified replacement within 14 days, the work permit process restarts for the new candidate. Repeated dropouts from the same agency may affect partnership standing.

What if a visa application is rejected?

Visa rejections are uncommon when documents are properly prepared. The most frequent causes are incomplete paperwork, expired certificates, or issues discovered during the consulate interview. Our legal team reviews the rejection reason and advises on resubmission. If the rejection is due to candidate-side issues (criminal record not disclosed, false documents), the candidate is permanently disqualified from our program.

What happens if an employer cancels a position after the process has started?

Employer cancellations are rare but do happen, typically due to business changes. If a position is canceled before the work permit is issued, we attempt to match the candidate with another employer. If cancellation occurs after work permit issuance, Asia Work absorbs the administrative costs and works to reassign the candidate. Your agency is not charged for placements that do not complete due to employer-side cancellations.

How does Asia Work handle worker complaints or disputes after placement?

Our in-country operations team provides ongoing support for placed workers. If a worker reports a problem (salary delay, accommodation issue, workplace safety concern), we investigate directly with the employer. Verified issues are resolved according to Ukrainian labor law and the employment contract. If an employer repeatedly violates contract terms, we remove them from our network and reassign affected workers. Your agency receives notification of any disputes involving your candidates.

What insurance coverage do workers receive?

All legally employed workers in Ukraine are covered by mandatory social insurance, which includes workplace accident coverage and basic medical emergency response. Additionally, Asia Work requires all workers to have travel and health insurance for the transit period (Moldova to Ukraine) and the first 30 days. After that, employer-provided coverage and Ukrainian social insurance apply. Some agencies arrange additional private health insurance for their candidates as a value-added service.

How can agencies scale their placements over time?

Agencies that demonstrate consistent candidate quality and reliable document flow earn priority processing, dedicated account management, and access to employer requests before general distribution. Volume targets and scaling milestones are discussed during quarterly partnership reviews. Top-performing agencies place 50+ candidates annually and receive the most favorable terms.

Can agencies request specific industries or regions?

Yes. During onboarding, you indicate your preferred industries and candidate skill profiles. We match employer demand with your agency's strengths. If your candidates are primarily welders, we prioritize metal fabrication openings. If you have garment workers, we route textile factory positions to you first. Regional preferences within Ukraine can also be accommodated where employer demand exists.

How long is the partnership agreement?

Standard partnership agreements are valid for 12 months with automatic renewal. Either party can terminate with 30 days written notice. The agreement covers data protection (GDPR compliance), candidate confidentiality, commission structure, and dispute resolution. Our legal team drafts the agreement after the introductory call and sends it for review before signing.

Does Asia Work provide marketing materials for agencies to use?

Yes. After onboarding, we provide a digital asset kit that includes: company overview presentations, job description templates for your candidates, country-specific process guides, and branded partner materials that your agency can use when communicating with candidates. Materials are available in English with key documents available in Hindi, Urdu, and Vietnamese. We update these materials quarterly to reflect current employer demand and process changes.

Can we visit Asia Work's office in Kyiv?

Yes. Partner agencies are welcome to visit our Kyiv office for in-person meetings with the operations, legal, and partnership teams. We can also arrange workplace visits to Ukrainian employers so you can see the conditions firsthand and use the experience to brief your candidates more effectively.
